This listing is for VENDOR BOOTH SPACE at Hawaiʻi Pop Con 2027. Purchase of this product constitutes a legally binding agreement between the purchaser (“Vendor”) and Hawaiʻi Pop Con (“Event Organizer”).
All tables provided are standard 6-foot tables only. The number of tables issued to the Vendor shall strictly match the quantity purchased under the selected product variant. No substitutions, exchanges, upgrades, or deviations will be permitted for any reason
TERMS, CONDITIONS & LEGAL AGREEMENT
1. Final Sale / No Refunds
ALL SALES ARE FINAL AND NON-REFUNDABLE.
There are NO REFUNDS, NO CANCELLATIONS, AND NO TRANSFERS under any circumstances, including but not limited to illness, emergencies, travel issues, scheduling conflicts, weather, force majeure, or failure to attend.
Chargebacks, payment disputes, or reversals will be considered a material breach of this agreement.
2. Compliance With Rules & Future Amendments
Vendor agrees to fully comply with:

All current Hawaiʻi Pop Con rules and policies

All venue, fire, safety, and legal regulations
-
All instructions issued by event staff
Hawaiʻi Pop Con reserves the right to add, modify, amend, or enforce additional vendor rules at any time, before or during the event, as deemed necessary for safety, legality, operations, or event integrity.
These rules may be communicated via vendor packets, email, website updates, or on-site staff direction and are considered binding upon delivery.
Failure to comply may result in immediate removal from the event without refund or compensation.
3. Vendor Packet & Additional Information
Vendors will receive a Vendor Packet prior to the event containing additional information, including but not limited to:

Setup and breakdown times

Load-in/load-out procedures
-
Booth layout details
-
Additional rules, restrictions, or requirements
Vendor acknowledges that the Vendor Packet forms an integral part of this agreement, and all information contained therein is enforceable.
4. Merchandise & Legal Responsibility
Vendor represents and warrants that:

All merchandise sold or displayed is legal, authentic, and lawfully obtained

Vendor possesses all required licenses, permits, and approvals

No counterfeit, infringing, obscene, or illegal goods will be sold
Vendor assumes full responsibility for the collection and reporting of all applicable taxes.
5. Booth Assignment
Booth location, layout, and spacing are assigned at the sole discretion of Hawaiʻi Pop Con and are subject to change. Booth placement is not guaranteed and is not grounds for refund, dispute, or chargeback.
6. Assumption of Risk & Liability Waiver
Vendor voluntarily assumes all risks associated with participation, including but not limited to personal injury, property damage, theft, loss, or interruption of business.
Vendor releases, waives, and holds harmless Hawaiʻi Pop Con, its owners, staff, contractors, volunteers, venue, and affiliates from any and all claims, damages, losses, or liabilities arising from participation in the event.
7. Indemnification
Vendor agrees to defend, indemnify, and hold harmless Hawaiʻi Pop Con from any claims, damages, losses, costs, or legal fees arising from:

Vendor’s actions or omissions

Merchandise sold or displayed
-
Violations of law or third-party rights
-
Injury or damage caused by Vendor, staff, or equipment
8. Force Majeure
Hawaiʻi Pop Con shall not be liable for failure or delay due to events beyond reasonable control, including acts of God, natural disasters, government action, public health emergencies, venue issues, or other unforeseen circumstances. No refunds will be issued under such conditions.
9. Governing Law & Venue
This agreement shall be governed by and construed under the laws of the State of Hawaiʻi. Any legal action shall be brought exclusively within the State of Hawaiʻi.
10. Acceptance of Terms
By purchasing this vendor booth, Vendor acknowledges and agrees that they have read, understood, and accepted all terms, conditions, rules, future amendments, and policies stated herein and in all subsequent vendor communications.
